Oral Presenter Guidelines

Please review the guidelines below and the Congress Programto prepare for your presentation.

Presentation Format & Slide Ratio

  • Please prepare your presentation in PowerPoint.
  • You are welcome to use the official PowerPoint Template.
  • Presentations should be saved as a PowerPoint file (.ppt or .pptx). If you are using Apple Keynote, please export your file to PowerPoint format. PDF format is also accepted.
  • Please ensure your slides are in 16:9 ratio. To adjust this in PowerPoint: go to the Design tab, select Slide Size (usually located on the far right), and choose the 16:9 option.
  • All presentations must be submitted tohunters@icmsaust.com.auno later than 11:59 PM Friday 21 August 2026.
  • If your file is too large to email, please contact hunters@icmsaust.com.auand a Google Drive link will be provided.

On the Day

  • You are required to visit the Speakers’ Preparation Room at least 1 hour before your presentation to be marked off and to check your presentation.
  • Please go to your allocated room during the catering break preceding your session or at least 30 minutes prior.

Speakers Preparation Room

The Speaker’s Preparation Room (Concord Speakers Preparation) is on the Concord level at the Brisbane Convention & Exhibition Centre. The Concord Speakers Preparation can be accessed via the lift near the Plaza Auditorium, Plaza Level.
  • Saturday 29 August & Sunday 30 August: Please go directly to your session room 30 minutes prior to your session – there is no speaker’s preparation arranged for these days.
  • Monday 31 August 2026: 08:00 – 15:30
  • Tuesday 1 September 2026: 07:00 – 17:00
  • Wednesday 2 September 2026: 07:00 – 15:00

Audio Visual

The following AV equipment will be provided in each session room:

  • Projector and screen with audio
  • Lectern with built-in microphone
  • Presentation laptop with PowerPoint slides pre-loaded
  • Slide clicker with foldback monitor visibility
  • Handheld microphone for Q&A

Please note that personal laptops will not be permitted, as this may disrupt the program’s flow. We kindly ask all speakers to use the equipment provided and follow the instructions above. 

All slides will be run from the presentation computer. If you have a complex presentation, which includes multiple media files, we suggest you bring your laptop as a backup in case of difficulties loading your presentation. You will need to arrange this in advance with the AV technicians.

Poster Presenter Guidelines

Please review the guidelines below and the Congress Program to prepare for your presentation. 

Poster Session Presentation

  • You will be required to present your poster on Monday 31 August, 7:00 – 8:30 PM, at the Brisbane Convention & Exhibition Centre, Plaza Ballroom, at the Networking Evening and Guided Poster Tour, hosted by yANZSN.
  • Presenters are also welcome to stand and present their posters during the catering breaks on Monday 31 August and Tuesday 1 September.

Poster Board Number

You have been allocated a specific poster board for the display of your poster. Your poster board number has been sent to your email address.

Poster Size

  • A0: 841 × 1,189 mm (portrait orientation)

Sustainable Poster Design Tips

  • Embrace empty space — a clear and uncrowded layout makes your poster more readable and attractive. 
  • Avoid complex designs and detailed pictures — they are hard to read and require more ink and energy during printing. 
  • Recommended print size for A0 posters: main title 75–100 pt, subheadings 45–60 pt, body text 24–36 pt. 
  • Add a QR code linking to a website or digital content, allowing your poster to remain concise and effective. 
  • Create a poster that can be reused for future events or repurposed as an educational tool. 

Instructions for Poster Printing via the Congress

  • Save as PDF (we are unable to print from a PowerPoint file). 
  • Size: A0, 841 x 1,189mm (Portrait Orientation). 
  • Maximum file size: 512MB. 
  • Upload your poster via the Poster Submission Link by Friday 21 August, and it will be printed and delivered to the Brisbane Convention Centre for you. 
  • Complete payment via the portal: $15 plus GST = $16.50 AUD. 
  • Pick up your poster at registration on Monday 31 August and display it on your allocated poster board (Velcro dots will be supplied). 
  • At the conclusion of the Congress, please collect your poster and either take it home or recycle it using the onsite recycling facilities. 

Arranging Printing Yourself

  • Choose recycled or FSC-certified uncoated paper to ensure responsible sourcing. 
  • Avoid laminates, varnishes, and gloss paper, as these prevent recycling. 
  • Choose a printing shop certified by the Sustainable Green Print (SGP) scheme — find a list of certified businesses here.
