2024 Presenter Guidelines

Thank you for presenting at the 2024 Annual Scientific Meeting

We want to ensure your presentation runs smoothly.
The following guidelines and resources are designed to assist with your preparation and participation.

Please refer to the program for session timings, all sessions are inclusive of Q&A, presentations should not exceed their allocated time

Preparing Your Presentation

  • The presentation computers use PowerPoint with Windows operating system. As a backup, we suggest you bring your laptop if you use a Mac or require a specific or uncommon program.
  • Please ensure your PowerPoint presentations are in 16:9 aspect as 4:3 aspect (square) presentations will not fill the venue’s screens.
  • Copyright: Please ensure you have permission to use any images, music, or content within your presentation. If you do not have copyright permission, your presentation will not be able to be used or published. Do not include any images copied from the internet. Getty Images and other image agencies crawl the internet looking for images that have been copied without the appropriate licences.
  • Copyright ownership: Consenting to have your presentation published will not affect your ownership rights. The conference committee or Conference Design will not acquire the ownership rights of your presentation should you agree for it to be included in the proceedings.

Before Your Session

  • Email your presentation synopsis to mail@conferencedesign.com.au
  • All presenters are required to upload a copy of their presentation slides to the corresponding Dropbox folder below prior to Friday 23rd August 2024.
  • As a backup, please bring your presentation files to the conference on a USB. (Embed any content such as audio or video – don’t link to external files)
  • Go to your session room or log in online 15 minutes prior to the start time to meet the Session Chair and AV technician, familiarise yourself with the room and audio visual setup, and upload your presentation slides.

During Your Session

  • Please sit in the front row so you can move to the lectern quickly when introduced by the Session Chair.
  • The length of your presentation is noted in the program. We do not want to embarrass you, however, the Session Chairs have been instructed to end all presentations after the allocated time, even if you are not finished, to keep the program on time.
  • There will be technicians roaming between the session rooms to assist with troubleshooting any technical issues should they arise.
  • The Session Chair will flash timecards 5 minutes and 2 minutes prior to the end of your session.
  • At the end of your allocated time, the chair will ring a bell for you to conclude immediately.
  • The chair will only be able to field questions if you have finished in time.
  • At the conclusion of the session, any remaining time will be used for questions and discussion.

Presenting Author Name, Biography, Email Address, phone number, and Presentation Synopsis emailed to mail@conferencedesign.com.au
If not already submitted, complete and upload the ANZSN Presenter Agreement Form 2024 and email it to mail@conferencedesign.com.au

STEP 2: PREPARE YOUR PRESENTATION & SUBMIT SLIDES
Prepare and practice your presentation. Make sure to keep to the time limit required for your presentation. Submit your slides via the conference Dropbox link provided. If presenting online we strongly encourage you to prepare a video of your presentation as a back up, in case there are network challenges on the day.

STEP 3: PRESENT YOUR SESSION & Q&A
Arrive at the conference venue for your session, AT LEAST 30 minutes before the start time. You can provide updated presentation slides at the conference prior to your session by visiting the speaker prep room with a copy on a USB.

ASM Orals include Mini Oral Presentations, and all Award Oral presentations (YIA, Early Career, KHA, Discovery & Translational Science & Shaun Summers)

Preparing Your Presentation

Poster presentations will be an A4 size in landscape orientation.
Please upload a PDF copy of your poster to the DropBox link below by Friday 23 August 2024 for inclusion on the conference website, app and the ASM program.

During the ASM

Your Poster will be displayed on large monitors throughout the exhibitor lounge.

There will be a dedicated session in the program for you to be present to answer questions from attendees about your poster.

We encourage you to stand by a monitor during the poster session to be available to answer questions.
